South Riverdale Community Health Centre is a non-profit, multi-service organization that provides primary healthcare, social and community outreach services with an emphasis on health promotion and disease prevention primarily to people of East Toronto. This position acts as part of a multidisciplinary team, facilitating client flow through the DECNET program. This may involve booking clients, file management, data entry, program material and supply preparation. This position requires providing services to a range of clients, including marginalized populations.

This position will also provide reception services for the Clinical Team of SRCHC including booking appointments, communicating with clients, responding to general enquiries, acquiring services for and providing information to the public and other agencies regarding services.

This position is expected to work onsite.

Responsibilities:
• Booking program participants, managing incoming referrals and client files, making reminder phone calls
• Reception and client flow management
• Coordinates the availability of supplies, program materials and educational literature across multiple sites
• Collaborates with program team in the production of program material, brochures, flyers
• Coordinates mass mailings
• Answers incoming telephone calls for clinical staff
• Provides intake and registration of new clients and creates, maintains, files and retrieves client charts for clinicians
• Provides scanning, photocopying, faxing and filing services to clinical staff, clinic nurse and managers
• Coordinates referrals for clients and in collaboration with external providers
• Inputs encounter information for data collection purposes
• Enters and maintains DECNET Provider EMR templates, orientation and group schedules, as well as meeting and room booking
• In collaboration with the Program Manager, Chronic Disease, maintains time off requests within the EMR following established minimum coverage guidelines
• Participates in centre wide initiatives
• All other duties as required

Qualifications:
• University, College and/or medical administrative education
• Minimum of 1 years experience as a medical secretary or administrative assistant in a clinical or social service related environment preferred
• Proficiency in the use of computer technology and various software applications including advanced knowledge of Microsoft Office (Word, Power Point, Access, Excel) and an electronic health record (EMR)
• Experience with data entry
• Excellent verbal and written communication skills
• Excellent interpersonal skills in dealing with the public
• Ability to prioritize and multi-task within simultaneous attention to detail
• Strong organizational skills
• Ability to be flexible and a self-starter
• Awareness of and sensitivity to the health issues of a diverse community and marginalized populations
• Demonstrated respect for diversity, equity, anti-racism and accessibility with the ability to work collaboratively and positively with others
• Demonstrated ability to work effectively independently and as part of a multi-disciplinary team in a fast-paced environment
• Ability to speak and write South Asian languages an asset
• Police clearance documentation will be required for employment
• Proof of double COVID-19 vaccination status will be required for employment
